How to delete your Intake.now account and the data linked to it.

This page explains how to delete your Intake.now account and the personal data connected to it, what happens to that data, and how long it takes. It applies to the Intake.now app for iOS, macOS and Android, developed by Intake.now (the “Service Provider”).

How to delete your Intake.now account

To delete your Intake.now account, send an email to privacy@intake.now and ask for your account and the data linked to it to be deleted.

Send the request from the email address you use for Intake.now. That is how we establish that the account is yours. If you signed in with Google or Microsoft, use that same address. We do not ask for passwords, payment details or copies of identity documents.

Include in your request:

  • the email address linked to your Intake.now account;
  • a clear statement that you want your account and data deleted.

Removing the app does not delete your account. Uninstalling Intake.now from your phone, tablet or Mac stops the app from collecting further information, but the account and the data linked to it remain until you request deletion.

A subscription is a separate matter. Intake.now subscriptions run through the Apple App Store and Google Play, and are cancelled there, in your Apple or Google account settings. Deleting your Intake.now account does not by itself cancel a running subscription.

What happens to your data?

When your deletion request is carried out, the data held about you as an Intake.now user is removed, except for the categories listed under Data we may need to retain.

Deleting account-linked data may affect access to certain features or to a running subscription.

Audio, transcripts and reports

Intake.now records a spoken medical history, turns it into a transcript and produces a structured report from it. If you want those recordings, transcripts and reports removed, say so in your request to privacy@intake.now and they are covered by the same deletion.

The reports you have already copied into your own patient record system are outside Intake.now and are not affected by a deletion request. Those remain under your control as the healthcare professional.

Data we may need to retain

Some data cannot be deleted immediately, for reasons that are set out below. Where a retention period is fixed, it is stated in the Privacy Policy.

  • Payment information and purchase history. Retained to validate and manage subscriptions and to meet accounting and tax obligations that apply to the Service Provider.
  • Data needed for legal claims or fraud prevention. Retained where the Service Provider is legally required to do so, or temporarily where it is necessary to investigate or prevent misuse.
  • Automatically collected information such as app interactions, crash logs and diagnostics. Collected to keep the app working and to improve it. Under the Privacy Policy this information is retained for up to 24 months and may then be stored in aggregate, in a form that no longer identifies you.

Data kept for one of these reasons is not used for anything else, and is deleted once the reason no longer applies.

How long does deletion take?

Deletion requests are processed within 30 business days of receipt. You will receive an email confirming that your request has been carried out. If you have not received that confirmation, contact privacy@intake.now.

Inactive accounts

Data linked to an account is deleted after one year of inactivity, without you having to ask.

Backups

After data has been deleted from the live systems, a copy may remain in secured backups for a limited time. That copy is not used and is purged within 180 days.
